At the end of your Erasmus+ mobility period, there are several procedures to be completed and documents to be submitted. If you successfully complete your courses and submit all required documents on time, your mobility will be considered successful, and the remaining 20% of your grant will be transferred to your account.
📄 Documents to Be Submitted After Mobility
📝 Learning Agreement (Signed by 3 Parties)
The updated Learning Agreement signed by all three parties (student, sending institution, and host institution).
📅 Duration Sheet
The lower part of the previously signed document must be completed.
Both Confirmation of Arrival and Confirmation of Departure sections must be signed and stamped by the host institution.
📊 Transcript of Records
The official transcript issued by the host institution.
🔄 Recognition Outcomes
This document shows the recognized courses and grades based on the transcript received from the host institution.
The document must be:
- Completed by the student,
- Signed by the Erasmus departmental coordinator,
- Signed and stamped by the host institution.

❌ Failed Course Form
If there are any failed courses during the mobility period, they must be listed in this form.
The form must be signed and stamped by the host institution.
🎓 Certificate of Attendance
A certificate issued by the host institution indicating the exact dates of attendance.
🛂 Entry–Exit Stamps
Scanned copies of the passport stamps showing your exit from and entry into Türkiye.
📬 EU Survey
The online survey sent via e-mail by the EU Corporate Notification System must be completed, and confirmation should be shared with our office.(Please also check your spam folder.)
✈️ Flight Tickets
Copies of your outbound and return flight tickets.
Students who wish to extend their Erasmus mobility are required to complete the following steps in order:
- Obtain approval for the extension from the host institution.
- Obtain approval from the Erasmus Departmental Coordinator at Istanbul Aydın University.
- Complete the Extension Form.
- The form must be signed by:
- the student,
- the host institution,
- the Erasmus departmental coordinator,
- and finally the IAU Erasmus Office.
- Prepare a new Approval Form for the extension period.
- Add the courses of the extension period to the OLA system.
After completing these steps:
- Visa and residence permit extension procedures must be initiated,
- The travel health insurance period must be extended accordingly.
Once all procedures are finalized, all documents must be submitted to our office and a new Erasmus grant agreement for the extension period must be signed. (These procedures may be carried out via email.)
Important Notes:
- Note 1: Extension procedures are applicable only to students who started their first mobility in the fall semester.
- Note 2: Students who started their mobility in their final year must obtain approval from their department/faculty in order to extend their mobility to the spring semester of their final year.
Students planning to extend their mobility to the spring semester of the final year should be aware that this option may be risky. In particular, the presence of specific or compulsory courses such as graduation projects, internships, or similar requirements may cause difficulties in the course recognition process. In addition, in case of failure in courses, students should consider the possibility of a delay in graduation.
- Note 3: In order to be eligible for an extension, students must have a course load of at least 30 ECTS credits in the extension semester.
